Job Overview:

As an Executive Assistant at Plombon Insurance, you will play a pivotal role in supporting the executive team and ensuring the smooth and efficient operation of the company. Executive Assistant - Key Responsibilities:

  1. Calendar Management: Effectively manage the executive team's calendars, schedule appointments, meetings, and conference calls, and proactively coordinate any changes or conflicts.
  2. Communication: Act as a primary point of contact for internal and external communication on behalf of the executives, including handling emails, phone calls, and inquiries.
  3. Meeting Coordination: Organize, plan, and coordinate meetings, including preparing agendas, distributing materials, and ensuring meeting rooms and technology are set up and functioning.
  4. Travel Arrangements: Make travel arrangements for the executive team, including booking flights, accommodations, and ground transportation, and preparing itineraries.
  5. Document Management: Maintain and organize important documents, reports, and files, ensuring they are readily accessible to the executive team.
  6. Administrative Support: Assist with various administrative tasks, including expense reports, document preparation, and data analysis as required.
  7. Project Assistance: Provide support for special projects and initiatives as directed by the executive team.
  8. Confidentiality: Handle sensitive and confidential information with discretion and professionalism.

Qualifications:

  • Bachelor's degree in Business Administration or a related field (preferred).
  • Proven experience as an executive assistant or in a similar role.
